The DHL Waybill form is a crucial document for anyone looking to ship packages domestically or internationally. This non-negotiable air waybill serves multiple purposes, including tracking shipments, detailing payment options, and providing essential information for customs clearance. Key sections of the form require the shipper's and receiver's contact information, including names, addresses, and phone numbers. Additionally, it captures shipment specifics such as the total number of packages, weight, and dimensions, which are vital for determining shipping costs and ensuring compliance with regulations. The form also includes a section for declaring the contents of the shipment, which is particularly important for non-document shipments that require customs documentation. TERMS AND CONDITIONS

OF CARRIAGE

(”Terms and Conditions”)

1. Customs, Exports and Imports

DHL may perform any of the following activities on Shipper’s behalf in order to provide its services to Shipper: (1) complete any documents, amend product or service codes, and pay any duties or taxes required under applicable laws and regulations, (2) act as Shipper’s forwarding agent for customs and export control purposes and as Receiver solely for the purpose of designating a customs broker to perform customs clearance and entry and (3) redirect the Shipment to Receiver’s import broker or other address upon request by any person who DHL believes in its reasonable opinion to be authorised.

IMPORTANT NOTICE

When ordering DHL’s services you, as ”Shipper”, are agreeing, on your behalf and on behalf of anyone else with an interest in the Shipment, that the Terms and Conditions shall apply from the time that DHL accepts the Shipment unless otherwise agreed in writing by an authorised officer of DHL. Your statutory rights and entitlements under any defined service feature (for which additional payment has been made) are not affected.

A ”waybill” shall include any label produced by DHL automated systems, air waybill, or consignment note and shall incorporate these Terms and Conditions. If Receiver refuses delivery or to pay for delivery, or the Shipment is deemed to be unacceptable, or it has been undervalued for customs purposes, or Receiver cannot be reasonably identified or located, DHL shall use reasonable efforts to return the Shipment to Shipper at Shipper’s cost, failing which the Shipment may be released, disposed of or sold by DHL without incurring any liability whatsoever to Shipper or anyone else, with the proceeds applied against service charges and related administrative costs and the balance of the proceeds of a sale to be returned to Shipper.

Your Questions, Answered

What is a DHL Waybill form?

A DHL Waybill form is a crucial document used for shipping packages through DHL. It serves as a receipt and a tracking tool, detailing the sender and receiver's information, shipment contents, and payment details. The Waybill is non-negotiable, meaning it cannot be transferred to another party. It must be filled out accurately to ensure the package is delivered correctly and efficiently.

How do I fill out the Waybill form?

To complete the Waybill form, you need to provide specific information. Start with the sender's details, including the name, address, and contact number. Next, fill in the receiver's information, ensuring the address is complete and accurate. You will also need to list the shipment details, such as the number of packages, weight, dimensions, and a full description of the contents. Lastly, include payment information and sign the form to agree to DHL’s terms and conditions.

Can I track my shipment using the Waybill?

Yes, you can track your shipment using the Waybill number. Once your package is shipped, you can visit the DHL website and enter the Waybill number in the tracking section. This will provide you with real-time updates on the shipment's status, including its current location and estimated delivery time.

What should I do if I make a mistake on the Waybill?

If you notice an error on the Waybill after it has been submitted, contact DHL customer service as soon as possible. Depending on the type of mistake, they may be able to assist you in correcting it. However, significant errors, such as an incorrect address, may lead to delivery issues, so it's best to double-check all information before finalizing the Waybill.

What happens if my shipment is delayed?

While DHL strives to meet its delivery schedules, delays can occur due to various factors, such as weather conditions or customs processing. If your shipment is delayed, you can check the tracking information for updates. If you have concerns, reach out to DHL customer service for assistance. Keep in mind that delays do not typically entitle you to compensation, as per DHL's terms and conditions.

Are there restrictions on what I can ship using the Waybill?

Yes, there are restrictions on items that can be shipped using the DHL Waybill. Prohibited items include hazardous materials, dangerous goods, and certain restricted articles. It's essential to review DHL's list of unacceptable shipments before sending your package to avoid issues. If you’re unsure about an item, contacting DHL for clarification is a good practice.

Common mistakes

  1. Omitting the payer account number can delay the shipment process.

  2. Not providing the receiver’s complete address can lead to delivery issues.

  3. Forgetting to include the postcode/zip code is a common mistake that can result in delays.

  4. Failing to specify the total weight of the packages can cause confusion during shipping.

  5. Not including a full description of contents may lead to customs complications.

  6. Leaving the insurance section blank can mean missing out on coverage for valuable items.

  7. Neglecting to sign the shipper’s agreement can invalidate the waybill.

  8. Using a PO Box for the delivery address is not acceptable and can lead to shipment rejection.

  9. Not checking if the selected services are available for the destination can result in unexpected issues.

Documents used along the form

The DHL Waybill form is an essential document for shipping with DHL, but it is often accompanied by other forms and documents that facilitate the shipping process. Each of these documents serves a specific purpose and helps ensure that shipments comply with legal and regulatory requirements. Below is a list of commonly used forms and documents associated with the DHL Waybill.

  • Commercial Invoice: This document details the sale of goods between the seller and buyer. It includes information such as the description of the items, their value, and payment terms, which is crucial for customs clearance.
  • Proforma Invoice: Similar to a commercial invoice, this document is often used for customs purposes when no sale has yet occurred. It provides an estimated cost of goods and is typically used for international shipments.
  • Customs Declaration: This form is required for international shipments to declare the contents of the shipment to customs authorities. It includes information about the value, nature, and origin of the goods.

The Bill of Lading (BOL) serves as a key document in the shipping and transportation industry, similar to the DHL Waybill form. It acts as a receipt for the goods being transported and outlines the details of the shipment, including the origin, destination, and nature of the cargo. The BOL is also a contract between the shipper and the carrier, detailing the responsibilities of each party. The BOL is crucial for customs clearance and may be required for legal purposes in case of disputes regarding the shipment.

The Air Waybill (AWB) is another document that shares similarities with the DHL Waybill. The AWB is specifically used for air freight and serves as a contract between the shipper and the airline. It contains essential information such as the shipper's and receiver's details, the flight information, and a description of the goods. Like the DHL Waybill, the AWB is non-negotiable, meaning it cannot be transferred to another party. Both documents facilitate tracking and provide proof of shipment, making them vital for logistics management.

The Proforma Invoice is also akin to the DHL Waybill, especially in international trade. This document provides a preliminary bill of sale, outlining the goods being shipped and their estimated costs. While it does not serve as a demand for payment, it is often used to facilitate customs clearance and provide details for the receiver. Similar to the DHL Waybill, the Proforma Invoice requires accurate information about the shipment, including descriptions and values, to ensure compliance with international shipping regulations.

Finally, the Packing List serves a similar purpose to the DHL Waybill by providing detailed information about the contents of a shipment. It outlines the items being shipped, their quantities, and their packaging specifications. This document is crucial for both the shipper and the receiver to verify that the correct items have been sent and received. Like the DHL Waybill, the Packing List is instrumental in customs processes and helps prevent disputes regarding the contents of the shipment.
